# Understand Ubic automations

An automation applies the steps chosen by your administrator to prospects in the selected lists. It can manage follow-ups, stop a Humanlinker sequence, create a HubSpot Email task or send a Slack message, depending on the tools connected to your workspace.

## Follow up with a prospect after a pause

Progressive pauses prevent the team from calling an unanswered lead again too quickly. Ubic temporarily sets the lead aside, then makes them available again after the delay chosen by the administrator.

## A lead's journey

1. A call does not connect and the lead becomes **On hold**.

2. If the lead belongs to an affected list, they enter the automation.

3. Ubic waits for the duration set in the first phase.

4. The lead returns to the calling list.

5. If they are still not reached, they may move to a longer phase.

This journey applies to pauses after calls started in the dialer and direct calls from a lead record. If the lead already has a qualification, that qualification must match a trigger in the automation. Incoming calls do not trigger this journey through a pause.

This automation never starts a call on its own. It only organizes when the lead becomes available to sales reps again.

A lead already paused without a cycle is not added automatically. When adding a list to the automation, the administrator can choose to include leads that already match its triggers.

## What the administrator decides

Each automation has a name, applies to selected lists, and contains the steps chosen by the administrator. For follow-up automations, the administrator sets the delays and what happens at the end of the journey. Sales reps can view a lead's cycle without changing these rules.

## The automation ready on a new account

A new account starts with **Default follow-up**. A lead that is **On hold** or qualified **Voicemail** comes back into the list to call after 2 days, then 7 days, then 14 days. **Automatically include new lists** is checked, so every list created afterwards joins this cycle. The administrator can change the delays, remove a list or turn the automation off.

## Add a Humanlinker action

If Humanlinker is connected to your workspace, an administrator can open **Add a step** under **Automations**, then choose **Stop the Humanlinker sequence**, then select the lead statuses and lists imported from campaigns in the same Humanlinker account. Ubic requests the stop in the source campaign as soon as the lead status is saved, without waiting for follow-up delays. A message Humanlinker has already sent or started processing is not canceled. Turn off **Follow up with the lead** to request only the stop, leaving the list to call unchanged. Without a Humanlinker connection, the choice explains that a connection is needed; an existing rule stays visible with a request to reconnect.

The action card appears after it is added. To remove it from the journey, use its remove button, then **Save**. It can only be added once to the same automation.

## Add a HubSpot task or a Slack message

When these actions are available in your workspace, open **Add a step**, choose an action and configure it. **Add** prepares its card; then click **Save** to store the automation. Closing the dialog without adding does not change the workflow.

**Create a HubSpot task** creates an **Email** task associated with the existing HubSpot contact, for the HubSpot owner you select. That owner does not need an Ubic account. Choose the title, instructions and due date: immediately, or a number of days later at a specific time in your workspace’s timezone. This creates a task and does not send the email. The action requires lists from the same HubSpot account.

An open task from this step, or a creation that has not been confirmed, prevents another task. Ubic checks its status in HubSpot before creating another one. A missing task requires review; it is not recreated automatically. The Ubic view is read-only: edit and complete this task in HubSpot. An administrator can request a refresh of the last known status.

**Send a Slack message** uses the channel authorized in the Slack connection. Customize the message with the suggested variables. If legacy notifications already cover these lead statuses, contact the Ubic team to arrange their migration before adding this action.

Actions **On qualification** run independently: each has its own result. Adding or changing a rule does not replay actions for existing leads. Actions follow a human qualification after a call or a manual edit to a lead; imports and inbound CRM syncs do not trigger them. Follow-ups keep their own section and delays.

A **requested** action is still waiting to be processed; only a **confirmed** action has a response from the connected tool. If the outcome is **Needs review**, check the tool with your administrator first: retrying without checking could create a duplicate.
