Choose the right credentials
Prefer a service account or key dedicated to Ubic, with read access to prospects and lists and write access to the fields or activities you want to synchronize.
monday CRM: API token to import boards and their items.
Freshsales: account URL and API key to import contact views.
Odoo CRM: instance URL, API key, and the Database field for a multi-database instance. Ubic imports sales teams and leads or opportunities.
folk: API key to import groups and their people.
Sellsy: client ID and client secret to import pipelines and their opportunities.
ActiveCampaign: API URL and API token to import lists and their contacts.
Creatio: instance URL, integration username, and password to import all contacts or filter them by owner.
Apollo: API key to import contact lists.
Sellsy uses its OAuth credentials in the background without redirecting the user. Creatio opens a session with the integration account. The other six connections use an API key or token directly.
Connect and import
Open Settings > Integrations.
Find the CRM, enter the requested information, then click Connect. Ubic checks the credentials before saving them.
In the dialer, click Create a list and select the CRM.
Select a list, view, group, team, board, or pipeline, depending on the provider.
Map at least the phone number, then the useful identity and custom fields.
When the CRM exposes a compatible field, select the field that should receive the Ubic prospect status.
Finish creating the list. Imports and later reloads run in the background.
Ubic keeps the provider and remote-record identity explicit. Changes are sent only to fields that are supported or deliberately mapped. ActiveCampaign never changes a contact’s marketing subscription. Odoo and Sellsy add statuses and calls as traceable notes or comments. Apollo synchronizes compatible fields and contact stages but does not create a generic call log. Notes entered when qualifying a call stay in Ubic for ActiveCampaign, Apollo, and Freshsales; other compatible statuses and fields continue to be processed.
Troubleshooting
If the connection is rejected, create a new unexpired key and check the integration account permissions.
If no source appears, check that the account can view the relevant boards, views, groups, teams, pipelines, or lists.
If a prospect is missing after import, check that it has a usable phone number and that the field is mapped correctly.
If a status or field is not sent back, check the mapping and the values accepted by the provider.
Odoo requires a version and subscription that include external API access.
Disconnecting an integration removes its workspace credentials and stops future imports and updates. Prospects already imported remain available in Ubic.
